REGISTRATIONS NEED TO BE INTO THE EXECUTIVE SECRETARY ON A TIMELY MATTER.
PLEASE READ THIS LETTER CAREFULLY.
The 2018 convention hotel is the Hilton St. Louis Airport – 10330 Natural Bridge Road, St Louis, Missouri 65134. The hotel offers a fitness center, indoor pool, business center, comp WiFi in all rooms free self-parking complimentary 24-hour airport shuttle service. Room rate for up to 4 in room is $99.20. Room rates are in effect October 4- October 9, 2018 for single through quad.
RESERVATIONS MUST BE MADE BY Friday, September 21, 2018 TO RECEIVE THE GROUP RATE. RESERVATIONS MUST BE GUARANTEED AT TIME OF BOOKING. CHECK IN TIME IS 3:00 P. M and CHECK OUT TIME IS 12:00 NOON. Phone number for reservations is 1 800 564-7386. Identify yourself as with National Junior Horticultural Association.
Registration is $275 for single, $265 ea. for 2 members of same family, $255 for 3 or more member’s same family.
FULL REGISTRATION INCLUDES all meals from Friday banquet through Monday banquet except Saturday lunch. Also includes all admission charges on Sunday and Monday. Registration information is also on the web site. Fees are payable by check or credit card. We encourage attendance and participation in the entire convention activities, but individual meals may be purchased by family members accompanying youth delegates. Part time fees, Dinners only Friday, Saturday, and Monday $36.00. Breakfast will be $16.00.
NOTE: ANY YOUTH UNDER 15 YEARS OLD MUST BE ACCOMPANIED BY A PARENT OR RESPONSIBLE ADULT CHAPERONE. REGISTRATIONS SHOULD BE POSTMARKED BY FRIDAY, SEPTEMBER 21, 2018. Payment should be included with registration either by check or on line.
We would appreciate receiving registration money (by check along with registration form if you can as we have to pay credit card charges of approximately 4% on all on line payments and also many expenses have to be paid before convention
Late registration fees after September 21, 2018 are $280, $290, $280 respectively, unless Carole has been notified the registration will be coming by October 1. Registration refunds will be made up to October 1 less $25 each by notifying Carole. IF PARTICIPATING ONLY IN THE SATURDAY CONTESTS, THE FEE IS $75 PER PERSON.
If you are a student coming to convention to participate in contests, you need to pre-register for the contest online at www.njha.org. This can be done electronically. Please register by September 15, 2017. These forms will automatically go to the project chair in charge of that contest. 1. If you are entering as a team (i.e., demonstration or Hort ID), only one person should submit the information (names, addresses and birthdates). Only one 4-H team per state is allowed.
2. Make sure you type all the information that is requested.
3. Give the name of your coach or advisor.
4. Entries are due by September 15.
5. All demonstration and speech contests are conducted on Saturday morning. The specific time the delegate is scheduled for will be posted by the officers in the hotel.
6. The horticulture judging and identification contest is held on Saturday afternoon. A horticulture identification study session will be held on Friday night after the banquet.
7. If you need more information about the contests (rules, divisions, etc.), please go to the web site (www.njha.org) and/or contact the contest chairperson.
8. Open flames are prohibited for any part of your demonstration.
9. ALL AREAS ON FORMS MUST BE FILLED IN.
IF ANYONE HAS ANY QUESTIONS ON THEIR CONTESTS, YOU CAN SEND AN E MAIL DIRECTLY TO THE PROJECT CHAIR. AT THE END OF EACH CONTEST, THERE IS A BLOCK WHEN ONE CAN SUBMIT AN EMAIL DIRECTLY.
DON’T FORGET TO SUPPORT THE ALUMNI AUCTION THIS YEAR. IF YOU ARE THINKING OF SOMETHING THAT YOU COULD BRING FOR THE AUCTION, THINK ABOUT A GIFT CARD. THEY ARE GREAT FOR THE DELEGATES AS MANY ARE FLYING AND DO NOT HAVE ROOM FOR THINGS IN THEIR SUITCASES. A GIFT CARD IS GREAT.
SPECIAL NOTICE REGARDING ONLINE PAYMENT
REGISTRATIONS CAN BE SENT ELECTRONICALLY USING CREDIT CARDS ONLY. THOSE CARDS ACCEPTED ARE VISA, MASTER CARD AND AMEX. THIS IS COMPLETELY SECURE AND SAFE ONLINE SYSTEM TO USE. WE ALSO WELCOME YOUR CHECK MAILED WITH REGISTRATION FORM. CONTEST FORMS SHOULD BE FILLED OUT ONLINE AND SUBMITTED ELECTRONICALLY.

GENERAL NOTES FOR DAY OF THIS TOUR: BRING PHOTO ID. CLOSE-TOED SHOES ARE A FIRM REQUIREMENT, NO EXCEPTIONS. MONSANTO IS A LARGE MULTI-BUILDING OPERATION. THE TOUR INVOLVES A GREAT DEAL OF WALKING AND WILL MOVE FROM BUILDING TO BUILDING. THE WALKING PORTION IS ABOUT AN HOUR IN LENGTH WITH A FUN STEM CHALLENGE FOLLOWING THE WALKING TOUR. PLEASE CONSIDER THE PHYSICAL REQUIREMENTS OF TOUR STOPS WHEN PLANNING YOUR INVOLVEMENT.
THERE ARE NO PROVISIONS FOR UNDERAGE PARTICIPANTS. NO ONE UNDER THE AGE OF 12 MAY PARTICIPATE ON THIS TOUR. CELL PHONES SHOULD BE TURNED OFF UNLESS SPECIFICALLY ALLOWED BY TOUR GUIDES – NO PICTURES OUTSIDE OR INSIDE WITHOUT SPECIFIC PERMISSION.
OTHER TOUR PARTICIPANTS – THE OTHER PLANNED TOUR STOP INCLUDES A ROOFTOP LOCATION WITH ACCESS VIA STAIRS – UNFORTUNATELY THIS TOUR OPTION IS NOT HANDICAP ACCESSIBLE – THOSE WITH LIMITED MOBILITY SHOULD CHOOSE THE BAISCH AND SKINNER TOUR.
SPECIAL NOTICE FOR STATE FLAGS*** YOU DO NOT NEED TO BRING YOUR STATE FLAG FOR THE FLAG CEREMONY. Flag practice is at 5:30 PM on Friday and Monday. The person carrying the flag should come to the practices dressed for the banquet.
STATE EXHIBITS – States are encouraged to bring a display that showcases their state. Give-away items are strongly encouraged. Exhibits may be set up in the hospitality area after 2:00 PM on Friday and must be properly maintained during the convention. Exhibits are judged for their educational value. Exhibits should be removed after the awards banquet on Monday night. Tables will be covered and skirted.
DRESS CODE – As a delegate representing your state at a national convention, you are encouraged to dress appropriately during the convention. While jeans are not frowned upon, they should not be ripped, torn or shabby. Youth participating in speeches and demonstrations generally dress up for their presentation. Likewise, everyone is encouraged to wear business attire (shirt/tie, skirt/pantsuit) for the banquets. Saturday and Sunday dinners will be casual – please dress comfortably. The weather can be variable. Plan on bringing a sweater and/or light jacket along with comfortable walking shoes. Average day temps are 70 and nights at 65.
CONDUCT – State Leaders/chaperones/advisors/coaches/parents are responsible for ensuring that the behavior of the delegates does not have a negative impact at the hotel. There will be other guests in the hotel the same time as NJHA, so it is imperative to maintain proper conduct
1. Delegates will not run, yell, or hang out in the halls
2. Delegates must be out of the halls and quiet 30 minutes after the last activity is completed.
3. Violators will be sent home at family expense.
