*Currently, several nights of the conference have sold out of our room block,.  However, the hotel is regularly evaluating if they can add inventory to our block. Some individuals may be able to secure reservation as the availability is fluctuating.  We encourage you to try to contact the hotel directly if you would prefer to stay at the Hilton.  If they do not have rooms available, we suggest you secure a room at the overflow property located across the street - The Churchill Hotel. 

Please note that the negotiated group rate is only available while supplies last. Requests such as special needs should go directly to the hotel. If you have difficulties in making a reservation online, please call the Washington Hilton reservation at 202-483-3000.

We have arranged for an alternate hotel in case you are unable to make a reservation at the Washington Hilton.  The Churchill Hotel will offer the same rate for ASHS bookings (please note regular rooms are very close to selling out).  The following suites are available:

$178.18 - Deluxe One-Bedroom Suite

General Hotel Information - Rates, Deposits, Cancellations & Unresolved Issues

One night's room and tax deposit is required to confirm a reservation. Cancellations made within 72 hours of arrival will forfeit one night's room and tax.  Room rate above does not include any applicable taxes/fees.

If you are unable to resolve your hotel reservation issues by contacting one of the two conference hotels listed above, please contact Negar Mahdavian at nmahdavian@ashs.org or 703-836-4606 ext. 107. Please note that ASHS is not able to secure additional rooms at the negotiated rate at the Washington Hilton as the hotel is currently sold out on many nights.

 

Facilities Usage Fee

Where to stay?

We know that, for many attendees, finding the lowest possible hotel rate is paramount, and we are aware that often people choose to stay on the outskirts of town and then choose to drive to the conference each day.

However, before you book your hotel room for the ASHS Annual Conference, we want to mention the following ....

The American Society for Horticultural Science continues to make every effort to keep costs at a minimum for those attending the ASHS Annual Conference. One way this is done is to make a commitment to the host hotel(s) that a specified number of hotel rooms will be occupied by our conference attendees. In exchange for the hotel room occupation, the property provides ASHS with complimentary meeting space.

Over the last several years, many unsuccessful attempts have been made to explain this process to conference delegates. In 2004, ASHS did not fill its committed number of sleeping rooms, and, as a result, faced hefty penalty fees. Individuals who choose to stay at non-host hotels receive the benefit of the conference facilities, but do not contribute to the necessary commitments that allow the Society to use meeting space on a complimentary basis. Therefore, the ASHS Board of Directors instituted a "Facilities Usage Fee” for those who attend the conference, but choose not to stay in the host hotel(s).

The $250 Facilities Usage Fee will apply only to those who register (including exhibitors, speakers, students, etc.) for the conference, but choose not to stay at the host hotel(s).

We encourage all conference attendees to avoid this Facilities Usage Fee and stay at the host hotel(s). Please be aware that if you are sharing a room with another delegate, both names must appear on the room reservation by the hotel reservation cut-off date, otherwise you will be assessed this fee and obligated to pay it in order to pick up your registration credentials.

Staying at the host hotel(s) makes it easy to enjoy the the camaraderie of fellow ASHS members inside and outside of scheduled activities.

Just imagine - no commuting time to conference activities; additional networking time with colleagues; and amenities, such as complimentary internet in the sleeping room, room service, safes, exercise facilities, and restaurants/shops - everything in one convenient location.

It certainly is your choice as to where you desire to stay during the conference, but please understand that ASHS does have contractual commitments that we must honor, and we must do all we can to assure that there are no negative financial implications to the Society and the ASHS Membership.
