The American Society for Horticultural Science (ASHS) is committed to safeguarding all information collected by the society, and as part of these practices, we ensure our compliance with the General Data Protection Regulation (GDPR). We are dedicated to providing complete transparency in the processing, storing, and use of your information. Because ASHS is a membership organization, we ensure that all members have access and control over their data and how much of that data is shared within the membership. In addition, we provide the same assurances to individuals that are past members, customers, conference attendees, speakers, and authors.

Established in 1903, the American Society for Horticultural Science is recognized around the world as one of the most respected and influential professional societies for horticultural scientists. ASHS is committed to promoting and encouraging national and international interest in scientific research and education in all branches of horticulture.
Information We Collect
As a membership organization, we collect contact and professional affiliation information for the purposes of disseminating information for scientific educational, general membership, and conference/meeting purposes.
Information pertaining to awards, travel grants, and special program registrations are collected via secure-site online forms. We also process payments through the ASHS website and must collect appropriate information for the proper exchange of payment and services.
ASHS confirms that all vehicles of collection of this personal data through all sources, including the: ASHS website, Conference Technical Program Submission Site, Manuscript Submission Site for the ASHS Journals, ASHS Publications Subscription Site, are in compliance with the GDPR, and ASHS is also PCI compliant in relation to financial transactions.
How Collected Information Is Used
ASHS will collect and maintain your data for the purposes of delivering membership and conference related content to you via emails and/or mailings. ASHS will not pass your information along to third parties. We will not lease nor sell your information to outside companies.
You may opt-out of any communication at any time by following the opt-out link at the bottom of each email sent out. Once you have selected to opt-out, you will have to contact our office to be included again in any future communications.

An online member directory is available within the member-only area of the ASHS website. This directory is not accessible by the public. Members must log in using their individual secure password to view the membership directory page. Each member is able to control what is listed within the member directory.
As a membership society, ASHS offers online forums, discussion groups, blogs, messaging, and group walls where content can be viewed by the members and/or the general public. Please use caution when displaying content and any personal information within these areas.
How You Control Your Contact Information
ASHS Members are provided with a member profile within the secure member website. Each member may use this profile area to edit data as well as control whether their information is shown to members only or is completely hidden. Because we are a membership society, many members choose to display contact information for networking purposes. Each member has the ability to choose what and how much information can be accessed by the public.
To edit member data: Sign in to the member portion of the ashs.org website. Click Manage Profile in the right-hand menu. Click Edit Bio under the first section of Information & Settings. Click on the person icon beside each piece of data to select your privacy option for that data. Conference Registrations and Conference Communication
ASHS will collect various information from conference attendees and individuals presenting their work at the ASHS Annual Conference. This information will not be shared or sold to any third parties. Information will be used by ASHS for purposes of notifying and updating attendees of conference-related activities. Prior conference registrations will be used in notifying past attendees of future events.
In addition, conference attendees are preloaded into the conference app for the purposes of being able to communicate with others attending the meeting. Users of the app must login, and only conference attendees are able to communicate with one another. Please note, the system operates in the form of messaging. Email addresses are not visible to anyone, and you must agree to receive a message before the system will allow a message to come through to you.
Security and Monitoring
ASHS knows that Data Privacy and Security responsibilities go beyond the scope of GDPR. We take our members’ and customers’ privacy seriously. Even though ASHS does not generally collect or store any sensitive information (health or financial information), we treat all of our data as sensitive. We have been hard at work to ensure that we are in compliance with the GDPR, and we will remain focused on continued upgrades to our systems to protect all data that is submitted to ASHS for any purpose.
